LaSalle Network is hiring on behalf of a thriving technology start up in downtown Chicago, seeking an Executive Travel Manager, due to growth! In this role, you will act as the primary coordinator for all company travel, overseeing every stage of the process from planning through completion. You’ll handle logistics such as airfare, lodging, transportation, and backup arrangements to ensure everything runs smoothly.
You’ll actively track travel plans, make adjustments as situations evolve, and deliver a seamless experience for executives and team members. In addition, you’ll provide administrative support to the CEO’s office and collaborate with other teams when travel activity is lighter. This position calls for strong organizational skills, attention to detail, quick responsiveness, and the ability to anticipate needs before they surface. Key Responsibilities:Oversee a high volume of complex travel arrangements for executives, including the CEO, as well as employees
Arrange domestic and international travel, including flights, accommodations, visas when required, and detailed itineraries
Strategically plan routes and schedules to balance efficiency, cost, and executive expectations
Prepare clear, comprehensive travel itineraries for easy reference
Keep a close watch on travel schedules, including delays, cancellations, or last-minute change
Take initiative to rebook or adjust plans promptly, including outside standard working hours when necessary
Maintain clear and consistent communication with travelers before and during trips
Ensure a smooth, hassle-free travel experience at all times
Adhere to company approval processes before finalizing travel bookings
Gather, organize, and submit travel-related receipts to Finance promptly
Accurately document expenses with clear descriptions and purposes
Maintain detailed and organized records with a high level of precision
Work closely with Finance to ensure adherence to company policies and reporting requirements
Build and maintain strong relationships with airlines, hotels, and other travel providers
Arrange reliable, high-quality ground transportation services
Coordinate private aviation options when necessary
Negotiate preferred pricing and service terms when applicable
Manage time zones, connections, and international travel requirements with accuracy
Ensure all reservations, confirmations, and communications are correct and complete
Keep organized records of traveler preferences and history
Anticipate potential challenges and resolve them proactively
Provide administrative assistance to the CEO during periods of lower travel demand
Support scheduling, coordination, and special projects as needed
Handle confidential information with professionalism and discretion
Experience:
5+ years in corporate travel coordination, executive support, or a similar role
Proven experience managing frequent, complex travel for senior leaders
Familiarity with international travel logistics strongly preferred
Established relationships with travel vendors (airlines, car services, private aviation, etc.) required
Strong attention to detail and commitment to accuracy
Excellent organizational and time management abilities
Solid understanding of time zones and global travel considerations
Ability to respond quickly and work with urgency, including outside normal hours
Effective communication and problem-solving skills
Proactive, resourceful, and solutions-oriented approach
High level of professionalism and discretion

Location: Downtown Chicago, On-site
Pay: $100,000-125,000 + bonus eligibility
