Job Description

We are seeking a detail-oriented and highly motivated Accounts Payable Specialist to join our finance team. This role is responsible for managing vendor invoices, payments, and expense reimbursements with accuracy, compliance, and efficiency. The ideal candidate will bring strong analytical skills, advanced finance education, and proven AP experience in dynamic environments.

Key Responsibilities

• Review and process vendor invoices across management companies, remote offices, and fund-level entities, ensuring compliance with policies and contractual terms.
• Prepare and execute payments via ACH, DOM & FOR Wire transfers, and checks, maintaining accuracy and adherence to deadlines.
• Monitor AP aging reports and manage AP inboxes to support cash flow planning and timely communication.
• Administer employee expense reimbursement program, including review, audit, and processing of reports under company T&E policies.
• Maintain vendor master data, including onboarding, banking instructions, payment terms, and tax documentation.
• Build strong relationships with global vendors and cross-functional teams, ensuring timely resolution of inquiries.
• Maintain accurate records and documentation aligned with company policies.
• Support 1099 reporting and annual tax filings by validating vendor tax documentation.
• Identify and implement process improvements to enhance efficiency, strengthen controls, and support automation initiatives.

Qualifications & Experience

• Master's Degree in Finance with CA/CMA Inter preferred.
• Minimum of 5 years of Accounts Payable experience (financial industry/alternative investment management preferred).
• Strong understanding of AP processes, functions, and internal controls.
• Excellent organizational and time management skills with ability to meet deadlines.
• High accuracy, attention to detail, and commitment to data integrity.
• Strong interpersonal and communication skills with collaborative mindset and positive attitude.
• Ability to work independently and within a team in dynamic environments.
• Experience with ERP systems and invoice workflow automation tools (Power Automate, Concur, Microsoft Dynamics 365 (D365) MUST).
• Proficiency in Microsoft Office Suite.
